In Woolf’s Academic Management System (AMS), college administrators play a key role in managing the completion of student courses and ensuring that grades are approved for academic credit issuance. AMS provides administrators with the tools needed to monitor progress, submit students for course completion, and approve or reject grades as part of the Academic Board's review process.
-
Access Student's Course Records: Begin by accessing student's course records on the Course Students Page. Use the search function to locate specific student course records by entering the student's name, email, or ID. For bulk actions, such as reviewing multiple students' progress or submitting multiple records for course completion, use the available filters to filter records based on criteria like readiness for submission, degree, course, etc.
-
Monitor Course Engagement: Begin by tracking a student’s real-time engagement. The Course Students Page allows administrators to view key metrics, such as:
- Status
- Running Averages
- Course requirements (workload, assignments, meetings, publications)
-
View Gradebook for Metrics: By hovering over a student’s record, you can access the Gradebook for a quick summary of the student’s performance. The Gradebook displays:
-
Grades for assignments
-
Workload hours completed
-
Task completion status
-
-
View Detailed Course Progress: For more detailed tracking, click on a student’s record to open the Course Student Details Page. This page provides a timeline of the student’s course activities, including:
-
Assignment submissions
-
Meeting attendance
-
Workload completion
-
-
Check for Readiness Before Submission: Use Completion Readiness Tracker on the Course Students Page to check whether a student is ready for submission. The tracker provides insight into what requirements have been fulfilled and what remains pending, ensuring that all aspects are completed before submitting the student’s record for approval.
-
Submit for Course Completion: Once a student has fulfilled the course requirements, the next step is to submit their record for Academic Board approval.
-
Approve or Reject Grades: After submission, the Academic Board reviews the student’s performance:
- Approval: If approved, the student's grades are finalized, and academic credits are issued, which are added to their transcript.
-
Rejection: If the board determines that the student did not meet the necessary requirements, the submission is rejected, and the failure is recorded in the student’s transcript.
By following these steps, administrators can efficiently manage the completion of student courses and the grade approval process in AMS.
