How to Manage Student Course Completion and Grade Approval
In Woolf’s Academic Management System (AMS), college staff play a key role in managing the completion of student courses and ensuring that course completions are approved for academic credit issuance. AMS provides college staff with the tools needed to monitor progress, submit students for course completion, and approve or reject submissions as part of the review process.

Access Student's Course Records: Begin by accessing student's course records on the Course Students Page. Use the search function to locate specific student course records by entering the student's name, email, or ID. For bulk actions, such as reviewing multiple students' progress or submitting multiple records for course completion, use the available filters to filter records based on criteria like readiness for submission, degree, course, etc.

Monitor Course Engagement: Begin by tracking a student’s real-time engagement. The Course students page allows college staff to view key metrics, such as:
- Status
- Running Averages
- Course requirements (workload, assignments, meetings, publications)

View Gradebook for Metrics: You can access the Gradebook for a quick summary of the student’s performance. The Gradebook displays:

Assignment specific quantity, weight, and grades

Consolidated running and final averages

View Detailed Course Progress: For more detailed tracking, click on a student’s record to open the Course Student Details Page. This page provides a timeline of the student’s course activities, including:

Check for Readiness and Submit for Course Completion: Use the Completion Readiness Tracker on the Course Students page to determine whether a student is ready for submission. The tracker highlights which requirements have been fulfilled and what remains pending, helping ensure all components are complete before proceeding.
Once a student has met all course requirements, faculty must submit the student’s record for review and approval by the Academic Board.

Approve, Fail, or Reject: After submission, the College's Academic Board reviews the student’s performance and can choose one of the following options:
- Approve Completion: If approved, the student's grades are finalized, and academic credits are issued, which are added to their transcript.
- Mark as Failed: If the student does not meet the required standards, the submission is marked as failed. The failure is recorded on the student’s transcript.

Reject Submission: If the submission lacks sufficient detail or required components, the board may reject it with a stated reason. The college staff may revise and resubmit the course record for approval.
