The August 2025 release delivers improvements to compliance accuracy, billing fairness, and LMS integrations. With updates to workload tracking, grading safeguards, and Canvas compatibility, this release strengthens Woolf’s academic integrity and enhances trust for colleges and students.

1. Extended Grace Period for StudyTrack Billing

Key Requirements Addressed

  • Reduce billing disputes and align fees with intentional usage.

Key Woolf Updates

  • Grace period for StudyTrack billing extended from 24 hours to 30 days.
  • No StudyTrack fees are charged if the degree agreement is signed within 14 days of invitation, even if activity occurs before signing.
  • Improves trust and minimizes manual intervention during invoicing.

2. Counting Workload for Participation-Graded Assignments

Key Requirements Addressed

  • Ensure workload reflects participation-based assessments (e.g., Oxford courses).

Key Woolf Updates

  • Workload is now automatically counted for assignments with participation grades, even without explicit submissions.
  • System generates a standardized submission entry for consistency.
  • Participation icon added to resource preview for clarity.

3. Safeguards for Accurate Final Averages

Key Requirements Addressed

  • Prevent incorrect finalization of students with wrong averages.

Key Woolf Updates

  • Canvas grade deletions now archived and excluded from averages.
  • Automatic grade resync triggered on API submission.
  • Warnings when Running β‰  Final Average or when Canvas averages mismatch.
  • Completion blocked if grade weight system β‰  100%.

4. Support for Canvas New Quizzes

Key Requirements Addressed

  • Enable colleges using Instructure-hosted Canvas to sync and verify New Quizzes.

Key Woolf Updates

  • New Quizzes are now synced as resources into Woolf.
  • Each includes quiz metadata (description, instructions, question count, question bank reference).
  • Verification based on metadata; missing question bank contents no longer block compliance.
  • Colleges must include at least one New Quiz resource in sample libraries for verification.

5. College Resource Sample Library + Resource Kinds

Key Requirements Addressed

  • Standardize and automate workload verification
  • Provide clear, reusable baselines for resource evaluation

Key Woolf Updates

Resource Sample Library

  • Colleges or Woolf can duplicate any existing resource into a Sample.
  • Samples strip external IDs (Canvas links, students, etc.) and are not consumable by students. They serve as reference baselines only.
  • Samples must be:
    • Reviewed with the college
    • Submitted for Woolf's Academic Team verification
  • Only verified samples are used by Woolf to evaluate new resources.
  • Best practice:
    • Choose representative samples for each type (e.g., Regular Assignments, Summative Assignments, etc).
    • If workloads vary (e.g., 1h vs 2h regular assignments, or 4h vs 10h summative assignments), create samples for each range to set clear workload boundaries.
    • If college-provided workloads look unreliable, Woolf carefully validates before promoting samples.

 

College Resource Kinds

  • Colleges or Woolf can define custom resource kinds (e.g., Reading, Lab, Summative Quiz) at the college level, mapped to degrees.
  • Setup flow:
    • Go to College Settings > Configuration > Resource Kinds.
    • Add a resource kind, select a verified sample, and map it to the corresponding Woolf resource kind.
    • Provide a clear description of what makes the resource valid (content, structure, workload expectations. This is used by AI to classify and evaluate incoming resources.
  • Rules:
    • One sample can only be linked to one resource kind (to avoid AI confusion).
    • A resource kind cannot be saved without samples, ensuring every kind has a verified baseline.

  • Standardizes how colleges define, submit, and evaluate resources
  • Automates workload estimation using verified samples
  • Produces clear compliance summaries at the course level
  • Allows colleges to reuse validated baselines across multiple resources
